- Your Instagram username and account ID
- The content of the messages you send us
- The date and time of those messages
- Your profile picture, as shown by Instagram
When you contact us by email or through our website, we receive whatever you choose to send us — typically your name, email address, and details of your enquiry.
We do not collect payment card details through Instagram. We never ask for passwords, and you should never send them to us.
How we use it
We use this information only to:
- Answer your questions about tours, availability, prices and logistics
- Arrange and manage a booking you ask for
- Keep a record of our conversation so we can help you properly if you write again
We do not sell your information, and we do not use it for advertising.
Automated replies
Some replies to Instagram messages are drafted automatically using artificial intelligence, so we can answer common questions quickly and outside office hours. When this happens:
- You will be told at the start of the conversation that you are talking to an automated assistant.
- The content of your message is sent to a third-party AI provider to generate the reply. It is processed only to produce that reply.
- You can ask to speak to a person at any time, and one of our team will take over.
Who we share it with
We share information only with the service providers who make this possible:
- Meta Platforms — operates Instagram and delivers your messages to us
- Our automation provider — routes messages between Instagram and our systems
- Our AI provider — generates draft replies
- Our booking and email tools — where a booking or enquiry needs to be recorded
These providers process your information on our instructions. We do not share your details with anyone else except where the law requires it.
Where your information is stored
Our service providers operate internationally, so your information may be stored or processed outside Vietnam and outside your own country. We only use providers that apply appropriate safeguards to protect it.
How long we keep it
We keep conversation records for up to 24 months, so we can answer follow-up questions and honour past quotes. Booking records are kept longer where we need them for accounting or legal reasons. After that, records are deleted.
Your rights
You can ask us to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your information
- Stop using your information for a particular purpose
Depending on where you live, you may have additional rights under local law, including the right to complain to a data protection authority.
How to request deletion
Email info@roadkingshagiang.com with the subject line "Delete my data", and include the Instagram username or email address you contacted us from. We will delete your information and confirm within 30 days.
You can also remove our access from Instagram directly: Settings → Apps and websites.
Children
Our services are not directed at children under 13, and we do not knowingly collect their information. If you believe a child has sent us personal information, contact us and we will delete it.
Security
We take reasonable steps to protect your information, including limiting who on our team can access it. No system is completely secure, but we work only with established providers and review our access regularly.
