🚨 Road Kings Ha Giang Tour Terms & Conditions

As of June 2026, Border Area Permit requirements are being more actively enforced by local authorities in certain areas of Ha Giang.

Customers who completed their booking before 6 June 2026 will have their original booking price honored and will not be charged any additional Border Area Permit fee.

Customers who complete their booking on or after 6 June 2026 will be required to pay a Border Area Permit fee of 250,000 VND per person.

Road Kings Ha Giang will obtain the Border Area Permit on the customer’s behalf. However, the permit fee is not included in the advertised tour price and must be paid by the customer.

Customers must provide any information or documentation required for permit processing, passport, visa, visa stamp, date of exit of the country.

No refunds or compensation will be provided if a customer is unable to obtain a permit due to missing, incorrect, or incomplete documentation provided by the customer.

We provide helmets, protective gear, and rain gear free of charge for your tour. All gear provided is your responsibility while in your possession. If anything is lost, you’ll need to cover the cost of a replacement. If it’s damaged — for example, ripped or torn rain gear, or a scratched or dropped helmet/visor — you’ll be charged a repair or replacement fee.

Helmet damage fees:

• 300K for damage (e.g. a scratched or dropped helmet/visor)
• Full replacement cost if the helmet is totaled

Rain gear replacement fees:

• 500K for rain pants
• 700K for a rain jacket

If you prefer not to accept this policy, please bring your own rain gear.

Please note that all routes, itineraries, accommodations, and buses are subject to change. Adjustments may be made due to weather, road conditions, availability, or operational requirements.

Your reservation is not confirmed until we respond to confirm availability. On busy days, accommodations, buses, and even our team may be fully booked — please confirm with us directly.

All rates listed on our website for bus tickets and bike rentals are quoted in U.S. Dollars (USD).

Prices are subject to change without notice and may vary due to:

• Exchange rate fluctuations
• Price increases by suppliers
• Tax changes
• Seasonal or operational adjustments

If a service cost increases after booking, you will be required to pay the difference. You may choose to cancel instead, but cancellation fees may apply. We are not liable for price changes beyond our control.

All prices are based on availability at the time of booking and may be withdrawn or changed at any time.

Border Area Permit fees are not included in the advertised tour price. Road Kings Ha Giang will obtain the permit on the customer’s behalf. A fee of 250,000 VND per person applies and must be paid by the customer. (this is the price Ha Giang immigration charges)

Any request to change a bus ticket less than 72 hours before the scheduled departure time will require the guest to purchase a new bus ticket.

The 72-hour period is calculated from the exact scheduled departure time of the original bus. Changes requested more than 72 hours in advance can be changed subject to availability.

Your booking is only confirmed once you receive an official booking confirmation email from us at info@roadkingshagiang.com. Until you receive this confirmation, your booking is not guaranteed.

A non-refundable deposit of 500,000 VND per person is required to hold your spot.

Once paid, the deposit cannot be refunded under any circumstances.

• You must pay in full, in cash, upon arrivalbefore check-in.
• If you do not have the full amount ready, we will not be able to check you in.
• We only accept cash payments in:
  • Vietnamese Dong (VND)
  • Or US Dollars (USD) — must be $100 bills in good condition (no tears, stains, or excessive wear).
• Cards, coins, or small USD bills are not accepted.

Once your deposit is successfully received, a confirmation email will be sent to the email address you provided.

This confirmation will include key details such as:

• Bus timing
• Start date
• Pick-up point

During peak travel months, instruction emails may be delayed due to high volume. Please be patient. For urgent matters or inquiries, contact us directly via WhatsApp for support.

IMPORTANT: If you do not receive your confirmation email within 48 hours, you must notify us via email. If we do not receive any notice from you within 2 days of payment, the reservation will be considered confirmed and complete.

We are not responsible for missed confirmations or delays caused by:

• Incorrect email or WhatsApp number provided by the customer
• Failure to notify us of missing confirmation
• Customer refusal to use a service that has been successfully booked

No refunds or exchanges will be provided for any unused services that are included in the tour package.

This includes, but is not limited to:

• Missed ground transportation (buses)
• Sightseeing activities
• Meals
• Hotel accommodations

In the event of a no-show, the full tour price will be charged, and no refund will be issued.

You must be 18 years of age or older to book or join this tour. Proof of age (passport) may be requested at check-in.

We reserve the right to decline any booking without explanation if we believe the individual may pose a risk to public safety, legal compliance, or group well-being in Vietnam.

We also reserve the right to:

• Adjust the itinerary
• Substitute hotels or accommodations
• Cancel a tour prior to departure without prior notice

We are not responsible for any losses resulting from:

• Changes in group dynamics
• Weather conditions
• Governmental or police actions
• Traffic disruptions
• Other circumstances beyond our control

We strongly recommend that all participants obtain comprehensive travel insurance to cover medical costs, cancellations, and other unforeseen events. We assume that all customers will have arranged appropriate coverage prior to arrival in Vietnam.

ALL CANCELLATIONS MUST BE MADE VIA EMAIL (REPLY TO THE CONFIRMATION EMAIL)

All deposits (500,000 VND per person) are non-refundable, no exceptions. This applies whether or not you have paid the full tour price.

If you cancel within 72 hours of your tour start date, you must pay the full tour price. This applies even if you have only paid the deposit.

You will need to re-book on our website for your new starting date. Your previous deposit will be forfeited.

Important: Once you reschedule, you cannot cancel or request a refund( applied for full payment in advance) for any reason.

If you have paid in full, you are eligible for an 80% refund of the total amount paid. The remaining 20% is retained as a cancellation fee. You may reschedule your tour date one time at no extra charge.

No refunds will be provided for:

• No-shows
• Missed services (buses, meals, accommodations, etc.)
• Inability to attend due to visa issues, flight cancellations, or delays

It is the sole responsibility of each participant to obtain the necessary visa or entry permit to join the tour or service.

Road Kings Ha Giang is not responsible for any participant’s failure to secure a visa for any reason, including:

• Delays in visa processing
• Visa denials
• Incomplete documentation

We do not offer refunds or credits for tour cancellations due to visa issues or flight cancellations.

In the unlikely event that we must cancel your booking, we will inform you immediately and offer one of the following:

• An alternative of equal value, or
• A full refund of all money paid

No additional compensation will be provided beyond the amount paid.

We also reserve the right to cancel the tour contract if full payment is not received.

Road Kings Ha Giang will not be held liable for tour delays, changes, or cancellations caused by Force Majeure events, including but not limited to:

• Natural disasters or extreme weather
• Acts of God
• Fires, riots, strikes, or wars
• Government restrictions or police actions
• Mechanical breakdowns
• Fuel shortages or insolvency of third-party providers

In such cases, no compensation or refund will be issued.

All customers must have a valid passport and required visas or travel permits upon tour commencement.

It is solely the customer’s responsibility to obtain all necessary documentation. We are not responsible for any consequences resulting from failure to do so.

Border Area Permit fees are not included in the advertised tour price. Road Kings Ha Giang will obtain the permit on the customer’s behalf. A fee of 250,000 VND per person applies and must be paid by the customer.

Tour prices do not include insurance. All customers are encouraged to obtain their own travel insurance before arrival.

It is your responsibility to ensure the policy covers:

• Medical expenses
• Trip cancellations
• Theft, loss, and personal accidents

We are not liable for any injury, damage, loss, or delays incurred during the tour.

Any additional costs due to accidents, natural disasters, political unrest, or other events must be covered by the customer.

We make every effort to accommodate dietary restrictions.

However, it is the customer’s responsibility to verify that all provided meals meet their needs. Let us know your diet.

Road Kings Ha Giang acts only as an agent in arranging transportation, accommodation, and activities.

We are not responsible for any injury, accident, death, loss, or delay caused by:

• Carriers (buses)
• Hotels (accommodations)
• Restaurants
• Third-party operators

We reserve the right to decline or remove any individual from the tour if their behavior or condition poses a risk to themselves or others.

All claims must be submitted in writing within 30 days of the service ending.

Should a dispute arise, we will first attempt to resolve it through mutual discussion.

If unresolved, disputes will be handled through the Vietnam International Arbitration Centre (VIAC) under the Chamber of Commerce and Industry of Vietnam.

Please note that all tours taking place during the Tết (Lunar New Year) holiday period are subject to a 30% price increase.

This surcharge applies to:

• Tour packages
• Easy Rider services
• Self-driving options
• Accommodation included in the tour
• All operational services provided during the tour

We offer luggage storage free of charge for the duration of your tour only. Luggage must be picked up at the end of your tour — we do not offer storage beyond that point. We do our best to look after your belongings, but storage is at your own risk.

• Customers must clearly label all bags
• We do not store currency
• Customers are responsible for checking their belongings upon return
• We are not liable for any lost items, though we will assist in locating them
• We are not responsible for any damage to your luggage, as there’s no way of knowing what condition it was in before it was given to us

Power outages or interruptions to utilities (such as electricity, Wi-Fi, or hot water) may occasionally occur in remote mountain areas of Ha Giang due to weather or infrastructure limitations.

Road Kings Ha Giang and our partner homestays are not responsible for these occurrences.

No refunds or compensation will be provided for temporary power or utility disruptions beyond our control.

To comply with Vietnamese law and ensure guest safety, you must follow these rules at all accommodations:

• Valid ID required at check-in (foreign visitors: passport + visa)
• No weapons, drugs, explosives, or illegal substances permitted
• No gambling
• No smoking in bedrooms or indoor areas

For the safety of our guests and drivers on the road, the maximum passenger weight for an Easy Rider booking is 100 kg. Unfortunately, guests over 100 kg cannot ride as a passenger with an Easy Rider.

Guests over 100 kg may still choose to self-drive, provided they meet all of our self-driving licence and safety requirements.

To join a Road Kings Ha Giang tour as a self-driver, you must meet all of the following requirements:

1. Valid driving documents: You must carry a physical 1968 Convention International Driving Permit (IDP) with a valid motorcycle endorsement. Class AM is not sufficient. You must also carry your original physical driving licence from your home country, and the motorcycle entitlement on both documents must match. Both documents must be official physical copies issued by a government or officially authorized government agency. Digital copies, photos, screenshots, unofficial permits, or privately issued documents are not accepted.
2. Follow all road laws: You are required to follow all applicable Vietnamese traffic laws, road rules, and instructions from our guides while riding with the group.
3. Ability to ride with the group: You must have sufficient riding experience and ability to safely maintain the pace of the group. If our team determines that your riding ability creates a safety risk to yourself, other guests, our staff, or other road users, we reserve the right to require you to stop self-driving and switch to an Easy Rider at your own expense, subject to availability.
4. Responsibility while riding: As a self-driver, you are financially and legally responsible for your actions while operating the motorbike, including any damage to the motorbike, other vehicles, property, or third parties, as well as any fines, penalties, injuries, or other costs resulting from your actions or riding.

If you choose to drive your own motorbike:

1. You must demonstrate the ability to drive safely.
   • If not, you may be required to switch to the Easy Rider option.
   • All costs for this change are your responsibility.
2. You must be able to keep up with the group pace.
   • If not, we may switch you to a private tour or Easy Rider (at your expense).
3. You are financially responsible for any damage caused to the motorbike.
4. You are legally responsible for yourself when operating a motorcycle in Vietnam.

By booking this tour, you agree to the following:

I understand that motorcycle tours involve risks, including but not limited to:

• Road hazards
• Weather conditions
• Mechanical failure
• Actions of other participants or drivers

I voluntarily accept these risks.

I release Road Kings Ha Giang, its staff, affiliates, and agents from any liability for:

• Injury
• Property damage
• Death
• Loss arising from participation

I agree to indemnify and hold Road Kings Ha Giang harmless against any claims brought by third parties arising from my participation.

I confirm that I have read, understood, and voluntarily agreed to this liability waiver and the full terms and conditions.
